Section 6 Table of Contents

The Program Committee is responsible for the selection of scientific content presented at the Annual Meeting. The Program format is a mix of plenary lectures, breakouts, and posters.

Currently, there are five topical tracks, each with a plenary lecture: Pre-Clinical; Clinical; Public Health/ Epidemiology; Policy; and, Health Disparities.

The Program Committee co-chairs will put together a program that represents the scientific breadth of SRNT’s membership, with a conscious effort to select presenters who are part of disadvantaged groups and research that highlights smoking effects on minoritized populations.

The Co-Chairs have flexibility in how and when sessions are presented, and to select paper sessions and symposia based on peer review, but if they would like to make significant/foundational changes to the Annual Meeting format or historic practice of how sessions are selected, they should ask for Board input.

All presenters – paper, poster, and symposia – must indicate funding sources at the time of abstract submission and complete a disclosure/conflict of interest form. Those who have not submitted disclosure forms in writing in advance of the meeting will not be allowed to present.

Oral presenters must include a Disclosures & Funding Sources slide at the beginning of their presentations. Poster presenters must include Disclosures & Funding Sources in the upper left-hand corner of the poster in a font size no smaller than the subheadings throughout the poster.

The peer-review process for the Annual Meeting entails review by Society members of abstract submissions. Criteria for acceptance/rejection are based upon methodological rigor and not the funding resource or research findings.

The views expressed by conference presenters are the authors’ own and do not necessarily represent those of SRNT. SRNT does not endorse any research presented at the conference.

This policy will be published in various formats at the Annual Meeting.

  1. Employees of the Tobacco Industry are not eligible to attend or present research at the SRNT Annual Meeting, with guidelines/parameters determined by the SRNT Board of Directors.
  2. SRNT does not accept submission of abstract funded by the commercial tobacco industry, their wholly or partially owned subsidiaries, or any company with which they share intellectual property. See Policy 1.14.
  3. SRNT does not allow any companies that are part of or associated with the Tobacco Industry to exhibit at the Annual Meeting.
  4. Tobacco Industry employees may not serve as abstract reviewers for the SRNT Annual Meeting.

Site selection criteria include:

  • states with comprehensive legislation preventing smoking in public places
  • states that take steps to promote social justice and racial equity, as well as states that do not discriminate against LGBTQ+ populations and women’s rights.
  • states that are less likely to be impacted by inclement weather during the dates of the conference
  • In those years that the Annual Meeting is held in the US, staff will attempt to alternate geographic regions (i.e. East, Central, and West).

SRNT’s intent is to hold the Annual Meeting outside of the US at least once every four years, depending on costs and other mitigating factors.

Site Selection Process

  1. Staff will send RFPs to multiple cities in the given region and will narrow the list of potential cities to 3 or 4.
  2. Staff will visit the top contenders to meet with city leadership and primary hotel contacts.
  3. Staff will prepare a report listing the pros and cons of each option, including sleeping room rates, food and beverage minimums, and any other pertinent information for Board review.
  4. The Board will make the final decision on which location to select.
  5. Staff will negotiate all hotel and related contracts
